AI Agents vs. Automation: What Does Your Business Need?

Automation follows steps you define. An AI workflow can use a model inside those steps, while an agent can choose its next action based on the task and the information it finds. These approaches solve different problems.

Automation follows steps you define. An AI workflow can use a model inside those steps, while an agent can choose its next action based on the task and the information it finds. These approaches solve different problems.

Anthropic recommends starting with the simplest approach that works. Defined workflows offer consistency for repeatable tasks. Agents are more useful when the path cannot be fully planned in advance, but they also need evaluation, clear tool permissions, and stopping conditions.

  • Use rules for predictable work. Scheduled exports and fixed approval routing often need ordinary automation.
  • Add AI for language tasks. Summarising or classifying requests can fit inside a controlled workflow.
  • Consider agents for flexible investigation. Keep their tools and scope limited, with human checkpoints where needed.

Office example: Route an invoice to an approver using fixed rules. Use AI to draft an explanation of an unusual invoice, with a person reviewing any payment decision.

One action today: List which steps are predictable and which actually require judgement.
